Improvement in Delivery Note Control and Management
The delivery note management solution offered by SGAIM Automated Accounts Receivable has already allowed many companies in the distribution sector to save costs and reduce incidences in payment reception.
Madrid, February 2011. Appropriate management of delivery notes and invoices generated by companies is vital to ensure the profitability of the business and offer clients a quality service.
The delivery note is the proof of delivery of goods and without it clients can refuse to pay the invoice. It is also possible, due to the time lapsed between the delivery of the goods and the reception of the signed delivery note by the central office, for delays to be produced in receiving payment for the associated invoice.
SGAIM, the company devoted to the introduction of electronic management solutions for business processes, launches this new service with the objective of resolving such common problems in this sector as unpaid invoices due to missing delivery notes or control in their carrier’s activity.
Automated Accounts Receivable (AAR) is a solution which facilitates the control over signed delivery notes which carriers must deliver to the head office and speeds up their availability in the event of a claim by the client. All delivery notes are scanned and their image published on SGAIM’s TTID Plus web portal. All the necessary information is extracted from these for the generation of the invoices.
AAR generates reports with the discrepancies between the signed delivery notes received and the delivery notes file generated by the company. As this information is available practically immediately, actions can be started in order to claim the delivery notes from the carriers, to recover them before the expiry date of the invoice on which its customers can request them.
SGAIM’s Automated Accounts Receivable solution presents a series of benefits for logistics companies:
- 65% reduction in costs due to the automation of the process and the immediate transformation of the documents to electronic format.
- Immediate availability, via the web, of the signed delivery notes, with the possibility of sending a scanned copy to those customers who request it.
- Speeding up and improving the productivity and the processing of documents in the logistic chain and their payment reception management.
- Audit of the work carried out by the carriers via the delivery notes received.
-
Reduction of non-payments caused by disagreements with customers in the absence of the signed delivery note.
