What is ECM?

Enterprise Content Management (ECM) is the set of strategies, methods and tools created to capture, manage, store, preserve, deliver and integrate information and documents that relate to business and organizational management processes.

SGAIM develops solutions that are present in all the stages that the ECM entails, streamlining the management processes. It performs the digitisation of documents and is in charge of the electronic and physical custody. This allows clients to access their files in a fast, simple and safe way, allowing the most relevant information to be available immediately in electronic format, through a Cloud Document Manager called TTID, or in physical format on demand.

HOW DOES IT WORK?

Input: SGAIM receives the documentation sent by the clients through multiple input channels, chosen according to their needs. Reception can be made at:

  • Physical format.
  • Shipping by mail.
  • Directly in electronic format.
  • By email.
  • XML file, FTP, etc.

After a previous categorization according to the typology, the certified digitisation of the documents is carried out using high precision scanners..

Capture: Documentation in electronic format is standardized and passed to a common format that allows the extraction of data, applying a series of pre-processes that optimize the performance of optical character recognition engines. These perform the automated extraction of the data necessary for the management of the information.

Management: The data extracted in the capture process are processed and managed according to the guidelines established in the client’s business rules, checking them using master files and validation algorithms. This guarantees the personalization of the service according to the specific needs.

Storage: After the digitization, all information collected in electronic format is stored in the hosting that SGAIM uses for electronic custody, while paper documentation, if necessary, is guarded in warehouses that meet the highest standards of quality and safety.

Output: After this process, SGAIM makes available to the customer all information collected through the Cloud Portal TTID or integrating it directly into the systems they already own, using XML files, calls to the client’s FTP or via email. In case the customer wishes to consult a document in paper format, SGAIM has an express mail service.

Preservation: Once the process of digitization and data capture is completed, SGAIM offers a custodial solution of physical and electronic documentation, including the information life cycle management and keeping it according to the applicable legal conditions.

TTID is the document management cloud platform of SGAIM. Our customers can access their information 365 days a year, 24 hours a day.
